MS Excel shortcut keys F1 to F12 | Functional Keys |

In This Article, We are going to discuss the M.S excel shortcut keys using functional keys

List of Shortcut Keys From F1 to F12:

Explanation:

F1: You will get a Help dialogue box, in that you can get help and details about All Functions like VLOOKUP, TEXT, SUMIF etc.,

  • A video regarding your search is also available in that “Help” so you can easily understand the concept.
  • For Example:- If you search for VLOOKUP function you can get a video tutorial about that function and also Tips, Syntax with examples and Important Points regarding the VLOOKUP function.

F2:  To edit or add the text to a cell, F2 shortcut is like double-clicking the mouse on a cell.

Note: If you want to add extra letters or words to a cell which contain data already just go to that cell and press F2 and add the text.

If you try to write the text without clicking the F2 or double click the data which is already existing in that cell will be removed.

F3: To give the name (which is created already) for a particular cell or range of some cells.

For example: If you give a name to the range of cells from B1 to B5 as “Blue” you can add that name only for the cell or to a cell range of C1 to C5 (or) D1 to D5 (or) E1 to E5…………… up to the end of the sheet horizontally.

Note: If you want to give the name “Blue” to the cells except series of B1 to B5 (or) C1 to C5……. ncell1 to ncell5.It will never work you will get an error message like #VALUE! You need to give another name for another cell range.

F4: To paste the copied text once again after pasting it in the selected cell or area.

Example:  If you copy the text from the cell A1 and you paste it on a cell A5 it will be pasted. But If you like to paste the content once again on another cell, you no need to press Ctrl + V again, just press F4.

Note: Pasting the already pasted text by pressing F4 only works one time.    

F5:  We can go to the place of a cell or range which you want to use/see.

When we press the Ctrl + F5 a Go to dialogue box will appear, If you give the input of our required thing like a cell number, cell name, Cells having formulas, comments, Data validation etc.,  

We can also use Ctrl + G  shortcut instead of F5.

F6:  To Select the sections like working area, page view, quick access toolbar and Tabs in the sheet.

F7:  To Check the spelling with the help of the dictionary.

  • We can do the spell check in two methods. They are, 

                         a). By selecting the Particular Data. 

        We can check the spelling of any particular words. First, select the word you want to check the spelling and press the key F7 If it is right, you will get a message “Spell check complete You’re good to go”.  If it is wrong, a box will open and they show the correct words and select the option change the spelling will be corrected.

  • In case you enter that word in several times then select the option change all. 

                          b). By selecting the Entire Sheet. 

  • After Pressing Ctrl + A the Entire Sheet will be selected and press the Key F7 they will show the correct words for the mistake words then, you choose the correct words.

Points to Remember:

  • The Excel check the spelling from Left side cells to right side cells. Example: A1 to Z1 after A11 to Z11.
  • We can also Ignore the word one time by choosing Ignore Once and also Ignore the word if you use several times in the sheet by choosing Ignore All.
  •  We can also add words to the dictionary.
  • we can choose the Which country English we need, like Australian English, Indian English, Germany English, United Kingdoms etc. because the spelling of the words might differ from the other countries.

F8: We can Extend the Selected Data Without holding the shift key.

For Example:

Cricket Football
Sachin Messi
SmithRonaldo

In the above table, there are two columns about Cricketers and football players. If we want to select the entire table what we will do? We select the first are the last cell and hold the shift key and press the arrow keys in the required direction.

By using this shortcut F8, no need to hold the Shift Key to Extend the Selection.

Tip: Select any cell in the Table and press Shift + Ctrl + * then the Entire Table will be selected.

F9: We can calculate the sum of the values, after changing any value in the table.

Note: It is only applicable if you already choose the Calculation options as Manually in the formulas section.

Example: Check the list below.

Apple 3
Mango 4
Banana 3
Total = 10

After calculating the total sum, when you edit any value it doesn’t change the total sum. But you press the F9 after editing any value in the table, the sum of the values will change automatically.

  • If you don’t have any idea about which option is selected in the Calculation options, then go through the path as below.
  • File — Options — Formulas — Calculation Options. ( you will get the options).

F10: To select the Quick Access Tool Bar and Tabs.

F11: We can create the Chart for any table.

First, select any cell in the table and press F11 a chart will be created in a separate sheet in the same file.

F12: We can save any File by pressing F12 in a Save As mode.
